Practice Support Team Specialist (Legal Administrative Support)
Adaptive Solutions Group is a premier provider of information technology personnel. We provide a variety of technical professionals available for contract, contract to hire, or direct placement positions to companies in and around the St. Louis and Kansas City areas.
We are currently seeking a Practice Support Team Specialist to join a client team.
Responsibilities
Provide administrative and operational support to assigned professionals within a team based environment.
Coordinate workflow and prioritize tasks across multiple projects and deadlines.
Prepare, revise, and proofread documents with a high level of accuracy and attention to detail.
Assist with scheduling, calendar coordination, meeting logistics, and travel arrangements.
Support billing and financial administrative activities including preparation of correspondence and tracking information.
Process new client or project intake, including required documentation and system setup.
Manage incoming and outgoing communications, including mail, electronic correspondence, and file distribution.
Maintain contacts, records, and documentation in accordance with established procedures.
Utilize workflow management tools to track assignments and ensure timely completion.
Collaborate with team members to balance workloads and provide backup support as needed.
Demonstrate professionalism and discretion when handling confidential information.
Operate standard office equipment and software tools to support daily operations.
Perform additional duties as assigned.
Required Qualifications
High school diploma or equivalent.
Three to five years of experience in an administrative, legal support, or professional services support role.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to provide a high level of internal and external customer service.
Proficiency in Microsoft Office applications including Word, Outlook, Excel, and PowerPoint.
Proficiency with PDF editing tools.
Ability to work independently and collaboratively within a team environment.
Minimum typing speed of 60 words per minute.
Authorized to work in the United States without current or future sponsorship requirements.
Preferred Qualifications
Associate’s degree or higher.
Experience supporting litigation or document intensive professional services teams.
Prior transcription or executive level administrative support experience.
Experience managing complex calendars and high volume workflows.
Strong process management and information organization skills.
Familiarity with electronic filing systems and document management platforms.
