We are currently seeking a Practice Support Team Specialist (Legal Assistant) to join a client in the Phoenix, AZ.
Overview
This role provides administrative and practice-support services to a team of legal professionals. The Practice Support Team Specialist will coordinate workflow, prepare and proofread documents, manage calendars and travel arrangements, support client/matter intake and billing activities, and assist with general administrative functions. This position requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. Position type: Permanent. Work arrangement: Hybrid after training (3 days in office, 2 days remote). Location: Phoenix, AZ
Key Responsibilities
  • Coordinate and delegate workflow for assigned timekeepers and team members.
  • Prepare, revise, proofread, and format legal and business documents with high accuracy.
  • Manage calendars, schedule meetings, and arrange travel logistics.
  • Assist with client/matter intake, conflict checks, and related administrative processes.
  • Support client billing, matter budgeting, and financial tracking tasks.
  • Process incoming/outgoing mail and manage courier services.
  • Maintain and update contacts, CLE/membership tracking, and other administrative records.
  • Collaborate with teammates using team collaboration and practice-support software.
  • Operate standard office equipment and use common office software (e.g., Microsoft Office, Adobe Acrobat).
  • Maintain strict confidentiality and professionalism under pressure.
  • Perform other duties as assigned to support team objectives.
Required Qualifications
  • High school diploma or GED required; 2-year degree preferred.
  • 3–5 years of experience providing legal or practice support in a professional services environment.
  • Minimum typing speed of 60 words per minute.
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
  • Proficiency with PDF tools such as Adobe Acrobat.
  • Strong proofreading, grammar, and written-communication skills.
  • Excellent organizational skills and the ability to manage multiple projects and deadlines.
  • Professional demeanor and the ability to communicate courteously with clients, staff, and stakeholders.
Preferred Qualifications
  • Two-year or four-year degree in a relevant field, or equivalent experience.
  • Prior experience providing support for complex matters or litigation-related workflows.
  • Experience with billing and matter-management systems or project/ticketing tools.
  • Previous transcription or document-preparation experience.
  • Experience working within a shared team model that handles overflow and delegated tasks.
Compensation & Benefits
Compensation will be commensurate with experience and the specifics of the assignment; a typical regional range for this type of role is $61,000–$90,000 (actual salary varies by experience and location). Benefits for eligible, full-time employees may include medical and dental coverage, life insurance, short-term and long-term disability insurance, flexible spending accounts, employee assistance programs, paid time off, paid holidays, and participation in a retirement plan after meeting eligibility requirements. Bonus opportunities may be available but are discretionary.
