Legal Administrative Assistant
Adaptive Solutions Group is seeking a Legal Administrative Assistant to support a professional services team in the real estate practice area. This is an excellent opportunity for a detail-oriented and client-focused professional who thrives in a fast-paced environment. Responsibilities
Draft, edit, and proofread documents with accuracy and attention to detail
Coordinate new client matters, organize information, and create files
Assist with billing processes, including time entry, drafting cover letters, generating invoices, and communicating with clients as needed
Process vendor invoices and manage expense reimbursements
Maintain accurate and organized records, both electronic and physical
Manage calendars, schedule meetings, and coordinate travel while minimizing conflicts and maximizing efficiency
Track continuing education requirements for attorneys and coordinate related documentation
Provide administrative support such as correspondence, meeting agendas, and other project tasks as assigned
Required Qualifications
Minimum 5 years of administrative experience in real estate, business, or related practice areas (litigation experience a plus)
Strong typing and document editing skills
Ability to independently resolve issues and proactively support team needs
Excellent organizational skills with strong attention to detail
Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
Experience with legal or professional services software such as time entry, document management, records management, expenses, business intake, and invoice systems
Preferred Qualifications
Bachelor’s degree or equivalent professional experience
Familiarity with tools such as iManage, Intapp, Chrome River, UltiPro, or similar platforms
Demonstrated ability to handle confidential information with discretion
Strong communication and teamwork skills
