We are currently looking for an IT Meeting Coordinator to join the team.
Oversee videoconferencing, audio conferencing, and meeting room scheduling.
Manage videoconferencing and audiovisual solutions programs such as Cisco Telepresence Management Suite, Cisco Meeting Manager, Webex, Zoom, Skype, SoundPath, Meeting Room Manager for scheduling, and recording/editing software.
Manage multiple computer programs at once, including e-mail, scheduling software programs, and video conferencing programs.
Schedule audio-visual resources and conference rooms via e-mail and phone with programs MRM, Outlook, TMS, and CMM.
Maintain a daily videoconferencing schedule, checking for and resolving any meeting conflicts.
Assist with special events and ensure they are supported successfully.
Move and set up portable audiovisual equipment to various conference rooms.
Perform remote testing and support of equipment, monitor all calls, and attend to room setup (camera/microphone placement, lighting, audio/video checks).
Maintain microphones and operate the front and rear cameras in the Conference Center.
Operate and maintain all projectors, plasmas, and LED/LCDs.
Responsible for meetings/events and audio operator.
Assist users on how to set up their PC to connect to the AV equipment to push content.
Provide in-person support for high-importance meetings.
Edit and upload recorded content from videoconferencing solutions, Webex meetings, and PowerPoints.
Maintain inventory of all video and audio equipment.
Create Webex accounts for new users and troubleshoot issues with vendors as well as Soundpath.
Work after hours and weekends occasionally to accommodate meeting schedules.
Work with audio-visual vendors to identify and troubleshoot issues with equipment and services.
Collaborate to specify, install, and implement new equipment.
Provision new videoconferencing endpoints, using Cisco TMS.
Work with support partners to facilitate, repair, and replacement of equipment.
Work with audiovisual integrators to ensure that project scope has been fulfilled and quality standards are met before project acceptance.
Minimum 5 years of increasingly responsible experience, including experience successfully working across multiple reports.
Basic to mid-level grasp of information technology concepts and processes.
Demonstrated aptitude for effective leadership of staff.
Bachelor’s degree preferred but not required.
